1. Services and Service Provider

  • Services provided are professional, mobile massage therapy strictly therapeutic in nature.
  • All services are performed by Registered Massage Therapists (RMTs) in good standing with the College of Massage Therapists of Ontario (CMTO).

2. Booking and Appointments

  • Appointments are booked via our secure third-party provider, Noterro.
  • An intake health history form must be completed prior to your first appointment. This is mandatory for treatment.
  • Relax & Renew RMT reserves the right to refuse service to anyone at our discretion.

3. Cancellation Policy

We value your time and ours. Our cancellation fees are enforced to ensure fair availability for all clients.

4. Payments and Billing

  • Accepted Payment Methods: Credit Card, E-Transfer, Cash, and Direct Insurance Billing.
  • Payment is due at the time of service.
  • RMT Receipts: RMT receipts are provided for all treatments for your records or manual insurance submission if direct billing is not used.
  • Co-Pay: Cash is generally not accepted for co-pay amounts after direct billing unless specified beforehand. Co-pays are typically charged to the credit card on file.
  • Credit Card Security: Credit card information is stored securely via Square or Stripe integration (both PCI-DSS compliant) to enforce our cancellation policy. Full card numbers are never stored on RMT systems.
  • Insurance: It is the client's responsibility to understand their insurance coverage limits and requirements.
  • Travel Fee: A travel fee may apply for locations outside our core service area (e.g., Lincoln, Grimsby, Hamilton).

5. Refund Policy

  • Services are Non-Refundable: Once a massage therapy service has been provided, the payment for the therapist's time and expertise is final and non-refundable.
  • Client Satisfaction: While we do not offer refunds for completed services, we are committed to resolving issues and ensuring satisfaction. If you have concerns, please contact us; we may offer a credit or adjustment toward a future service at our discretion.
  • Prepaid Items: Prepaid services, packages, or gift certificates are non-refundable and cannot be exchanged for cash. They must be used for the services for which they were purchased.

6. Membership Terms

  • Automatic Billing Authorization: By enrolling in any membership plan, you explicitly authorize Relax & Renew RMT to charge your credit card on file automatically according to your selected payment frequency (monthly or bi-weekly). This authorization remains in effect for the duration of your membership commitment.
  • Plans:
    • • Individual (3, 6, & 12-Month Commitments)
    • • Individual Bi-Weekly (Month-to-Month)
    • • Duo & Household (3, 6, & 12-Month Commitments)
  • Billing: No signup fees. Payment is collected automatically by credit card.
  • Credits: A treatment credit is provided upon each payment. Unused credits roll over automatically and never expire while the membership is active. Credits are transferable within the same household and can be combined for longer sessions.
  • Welcome Offer:
    • Individual: One 50%-off bonus treatment during the membership term.
    • Duo & Household: One 50%-off bonus treatment PLUS a complimentary upgrade to Hot Stone or Cupping therapy.
  • Non-Renewal Grace Period: If a membership is not renewed, a 6-month grace period is provided to use any remaining credits.
  • Revocation of Membership: We reserve the right to immediately revoke a membership and forfeit all accumulated credits without refund if a client engages in inappropriate behavior, harassment, or actions that compromise the safety of our therapists.
  • Cancellation: A valid credit card is strictly required on file for membership billing and no-show fee enforcement.

7. Client Conduct and Liability

  • Client Conduct: We require a safe and respectful environment. Any inappropriate remarks, sexual advances, or aggressive actions will result in the immediate termination of the session, full payment will be charged, and the client will be banned from future services.
  • Treatment Space: Clients must provide a clean, safe, and reasonably quiet space for the mobile treatment setup (approx 8x10ft).
  • Liability: The client releases and holds harmless Relax & Renew RMT, its partners, and therapists from all liability regarding injury or damage occurring on the client's premises, except in cases of gross negligence by the therapist.
  • Health: It is the client's responsibility to inform the therapist of any changes to their health history or medical status before every treatment.

8. Changes and Contact

Relax & Renew RMT reserves the right to modify these Terms & Conditions at any time. Continued use of our services constitutes agreement to these terms.

Therapist Safety Assurance

To ensure the security and peace of mind of our team, all mobile therapists are equipped with professional safety monitoring devices. This includes GPS location tracking and an integrated panic button system that instantly contacts emergency authorities and management if activated. We take the safety of our staff as seriously as the care of our clients.
